Board Position Responsibilities
President
  • Chair BPSA Board Meetings
  • Represent BPSA to other organizations and club members
  • Act as the main contact person for BPSA
  • Chair all Board meetings
  • Serve on the annual Budget Committee and Travel Team Formation Committee
  • Coordinate the recruitment of new board members
  • Assist Board members as needed
  • Train Executive Vice President to assume duties of President as necessary
  • Develop initiatives for BPSA to improve its ability to meet its mission and vision
Executive Vice President
  • Serve on Annual Budget Committee and Travel Team Formation Committee
  • Represent BPSA to other organizations and club members
  • Preside over board and committee meetings in the absence of the President
  • Assist Board members as needed
  • Assist the President with responsibilities as needed
CFO/Treasurer
  • Maintain BPSA financial records & prepare monthly financial report for board meetings
  • Disburse BPSA funds
  • Retrieves BPSA Mail from Post office box
  • Serve on Annual Budget Committee, preparing proposed budget
  • Coordinates annual audit & File annual tax information by CPA
  • Maintains all contracts entered by BPSA
  • Performs long term strategy projects
  • Tracks sponsorship payments and special event costs/profits
Secretary
  • Take Minutes during all Board meetings, providing photocopied Minutes at the next Board meeting for approval
  • Distribute approved Minutes to Web Administrator for distribution
  • Update and maintain BPSA records, including the Bylaws
  • Arrange facilities for regular board meetings
Travel Commissioner
/Registrar
  • Provide registration information to returning players and to schools in BPSA area for new player recruitment
  • Coordinates registration with the recreation department, the flights registrar, and the communication chairman
  • Collects registrations with recreation department
  • Maintains travel players database
  • Registers travel players with PA West each session. Ensures that teams are registered before the start of the season
  • Acquires necessary materials for coaches, i.e., roster cards, player card, rules
  • Breaks down players by age/gender and relates that information to the travel commissioners. Determines method of distribution of materials, rooster, and cards
  • Prior to start of registration, picks coaches for different travel teams. Presents this list to board
  • With Field coordinator and coaches, helps to set game schedules
  • With registrar, help determine the number of players for the various ages and genders
  • With coaches, recruit assistant coaches
  • With coaches, develop teams from those players registered
  • With coaches, settles disagreements between coaches/ parents/ players
  • With coaches, helps develops try-outs/assessments for team placement
  • Helps new coaches with procedures involving registration, player cards, rosters, equipment, schedules, field, etc.
  • Develop as many teams as possible with the players who have registered
Coach and Player Development
  • Develop BPSA sponsored soccer camp proposal, determining which outside provider(s) will be utilized, and include budgetary and volunteer resource needs
  • Schedule camps with Board approvaL
  • Attend or provide coverage for all in-person registration functions to recruit potential volunteers, provide player information and answer related questions
  • Recruit necessary volunteers to assist with camps
  • Coordinate promotion of camps with web administrator, secretary and travel commissioners for in-person registration and camp registration form hand-outs
  • Encourage coach training thru PA West sponsored classes
  • Provide upon request specialized training (goalkeepers and individual skills) for BPSA members and flight coaching orientation topics
Flight Registrar
  • Works with the recreation department and communications chair to register players for each session
  • Develops session schedule with Flights Coordinator
  • Breaks registration down by age/gender, and transmits this information to the different flight commissioners
  • Collects registration for recreation department
  • Maintains Flight player database
  • Register players with PA West each session
  • Adjudicates and reconcile players and teams with the recreation department for reimbursement to the association
  • Maintain all records required by BPSA affiliates and for insurance purposes
  • Works with the recreation department to inform the community and schools about soccer and registration through the monthly recreation newsletter and the community magazine
  • Perform other registration duties as identified by Board
Flight Commissioner Coordinator
  • Makes sure each flight has a Flight age group commissioner and registrar knows each commissioner
  • With the Flight Commissioners, determines the time, place and format of the fall and spring in-house programs
  • Coordinates assigned flight professional coaching representatives
  • Facilitates coordination among the flights
  • Facilitates coordination of Fall season picture day
  • Facilitates coordination of 50/50 fundraising among in-house Flight Age Group Commissioner
Flight Age Group Commissioner
  • Works with one age group of players for the in house program. (The age groups are designated Flight 1 through Flight 5.)
  • With the Flight Commissioner Coordinator, determines the time, place and format of the fall and spring flights season
  • Obtains complete roster of players and coaches from the Flights Registrar
  • Determines the number of teams, the number of players on each team and who will play on which team. Calls prospective coaches to confirm commitment and calls others for coaching if needed
  • Oversees coordination with professional coaching representative
  • Oversees each Saturday flights session during the fall and spring season
  • Promote, organize and collect 50/50 fundraising for specific in-house flight
  • If not a member of the board they are encouraged to attend monthly board meetings
Field Coordinator
  • Maintain BPSA fields year-round
  • During season, prepare monthly report on field conditions and maintenance needs
  • Coordinate lining and maintenance of BPSA fields during season and for tournaments as needed
  • Forecast amount of paint needed and work with Equipment coordinator to order
  • Attend or provide coverage for all in-person registration functions to recruit volunteers to assist with field maintenance
  • Coordinate with BP Coaches regarding assigning of practice fields during Coaches' Meetings
  • Research and lead any BPSA efforts to develop new fields or increase quality of current fields
  • Handle or coordinate other field-related duties as need is identified
Referee Coordinator
  • Coordinate recruitment and training of all club referees
  • Coordinate scheduling referees for all home BPSA games, BPSA-hosted and BPSA tournaments
  • Maintain records needed to reimburse referees for games officiated
  • Provide web administrator with information for Referees' Page of web site
  • Evaluate referees' performance during the season and provide assistance in improvement in skills
  • Coordinate the recertification of referees each year
  • Attend PA West Assignor certification
  • Supervise Assignor assistant
  • Attend or provide coverage for all in-person registration functions to recruit potential referees
Community & Public Relations Coordinator
  • Attend monthly BPSA board meetings
  • Attends Recreation Board meetings (as needed or requested)
  • Coordinate and form committees for all BPSA Public, Appreciation and Community Events. Examples include:
    • Community Day Booth (May)
    • Picture Day
    • Coordinate Player Appreciation Day (last day of Spring flights)
    • Coordinate Coaches Appreciation Dinner (after Fall season)
Communications Coordinator
  • Utilizes various tools to increase communication and visibility of the soccer association both inside the program and outside the program
  • Assembles and distributes material about the current season at the beginning of flights season each session
  • Post messages on the community cable channel about registration and upcoming events. Assembles and distributes either by mail, school handouts, or website periodic newsletters or featured items out soccer
  • Responsible for updating content of bpsoccer.org
Equipment Coordinator
  • Responsible for Travel and Flight Uniforms
  • Buy such supplies as are needed to line and maintain fields, goals and other needed equipment
  • Maintain inventory of all BPSA equipment
  • Serve on Annual Budget Committee
Risk Assessment Coordinator
  • Ensure every Coach, Assistant Coach, Manager, Trainer, (Club) Board Member, and Volunteer completes the PA-West or equivalent certification for Risk Management
  • Works with Equipment manager to ensure all head coaches have first aid kits
  • Works with Field Coordinator to ensure all fields are safe
Web Administrator
(Non-board member as needed)
  • Responsible for technical updates to the web site as requested
  • Responsible for publishing the meeting minutes on a monthly basis after receiving them from the secretary
  • Responsible for updating the meeting dates and times on a yearly basis
  • Notify treasurer when annual website fees are due
  • Update registration form on a semi-yearly basis
General Board Expectations
  • Attend monthly Board meetings
    • By-laws state: Any person missing 4 consecutive regularly scheduled Board meetings or 6 regularly scheduled Board meetings in any preceding 12 months shall be deemed to have immediately resigned as a member of the Board
  • Follow BPSA Code of conduct
  • Learn the BPSA by-laws, PA West rules and the FIFA laws of the game
  • Maintain 'PA West Kid Safe' or Act 33 clearance
  • Actively participate in obtaining new sponsorships and sponsorship renewals
  • Actively participate in committees
    • Acknowledge that as a board member you will volunteer or be assigned responsibilities to assist in the functioning of the BPSA
  • Have a global knowledge and interest in improving BPSA: all age groups, genders, in-house and travel
  • Commit to the calendar year Spring and Fall seasons
